How Long We Keep Each Type of Record

We keep information only as long as we need it to care for your child, run the center, and meet the rules we operate under. The table below shows the main types of records and how long each one is kept.

Enrollment inquiries and tour requestsKept for 2 years from the date you submit them, then permanently deleted.
Active family and child recordsKept for as long as your child is enrolled, plus 1 year after enrollment ends so we can answer follow-up questions and provide references.
Attendance and daily reportsKept for 3 years, in line with Minnesota childcare licensing recordkeeping requirements.
Incident and safety recordsKept longer for compliance, at least 3 years and up to 7 years, because licensing and liability rules require safety records to be available for review.
Photos and mediaKept while your child is enrolled and removed within 1 year after enrollment ends, or sooner on request.
Financial and CACFP recordsKept per program requirements, generally 3 years after the end of the program year for CACFP food-program records, and longer where tax or funding rules require it.
Why Some Records Are Kept Longer

As a licensed childcare provider, we follow Minnesota childcare licensing requirements for how long records must be kept. Some records, such as incident and safety reports and program financial records, must be held longer than everyday information so they are available if a licensor, auditor, or funding program needs to review them.

When a required retention period ends, we remove those records rather than keeping them indefinitely.

How to Request Deletion

You may ask us to delete your family's information at any time using our data deletion request form, or by contacting us directly.

We will delete what we are permitted to and keep only the records Minnesota licensing requires us to retain. Those remaining records are removed once their required retention period ends.
